• Questions and Answers
Q: When I try to install Snap Mail, the installer complains about how much memory I have. Why is it complaining?
A: In order to protect your system, a duplicate is made of your system file before the Snap Mail software is installed. When installation is complete, this duplicate is removed. If your hard drive does not have enough memory to hold this copy, installation can not take place. There are three things that you can do.
1) Clean up your hard disk to make some room available.
2) Boot from another drive than the one you are installing to. In this case, no copy of the system file is created.
3) Install Snap Mail “manually” as described on page 1-2 of this manual.
Q: I just installed Snap Mail, restarted my computer, and now the Snap Mail icon appears at the bottom of my screen with an “X” through it.
A: An error message should appear on your screen informing you of what the problem is. If correcting the problem does not help, try installing the software again.
Q: Snap Mail is running but I don’t see any other users on my User List or some users are missing.
A: There are a number of possibilities here.
1) Make sure that you have turned AppleTalk on in the Chooser window.
2) Make sure that your computer is connected to the network.
3) Try typing “Cmd-K”. This will do a full network lookup.
4) Are there other users currently running Snap Mail? Other users will be added to your User List as soon as their computers are turned on.
Q: Snap Mail was running fine, but when I started up my computer today, Snap Mail did not load.
A: Snap Mail should tell you what it thinks the problem is. If it thinks your mailbox file has become corrupted, you should rename the file “Snap MailBox” in the folder “Snap Mail Files” which is in the System Folder. Then restart and see if Snap Mail loads correctly. Make sure you tell Snap Mail to restore your old identity. If this works, it is likely that your old mailbox has become corrupted.
Q: I sent mail to someone who says it was never delivered. Where did it go?
A: First check your mail log. If this piece of mail is still on your pending list, then it has not been delivered yet. If the recipient’s computer is currently on, try typing “Cmd-K” while in Snap Mail. This will try to restore your network connection.
Check to see if you have any large enclosures going to this person on your pending list. In this case, you must first wait for the enclosure to get through or delete the enclosure.
Check the “delivered mail” list in the mail log. If your mail does not appear in either the pending mail list or the delivered mail list, then you never sent it. Even if you removed it from the “pending mail” list, it would be recorded in the “delivered mail” list as “deleted.”
If the mail is in your delivered mail list, double-click on it. This will tell you where and when the mail was delivered. If it was sent to a server, you should check to see if that server was turned off for some reason. See the section on using servers to find out how to check the pending mail log on a server Mac.
Q: Snap Mail has been coming up slowly. What is wrong?
A: Your mailbox is probably very full. Try deleting some of your old mail and see if this speeds things up.
Q: I can’t seem to use the hot key to bring up Snap Mail. Why not?
A: Check to see if you are running some key macro program. These can interfere with “Hot Snap.” You can also try resetting the hot key from the control panel called “Hot Snap.” “Hot Snap” does not recognize alternate keyboard layouts.
• Tips
** Using forms effectively
Forms are a very powerful feature of Snap Mail. To create a new form, simply choose “Icons & Forms” from the Snap menu and hit the “New” button. The new icon you draw will be associated with whatever text you type in the “Form” text area and whichever users you select in the User List. Every time you choose this new icon from the main window, the form and users selected will be chosen. The following demonstrates some of the many uses for forms.
1) Repeated Mailings
If there is a message you often send out to a group of people, forms can help you. Simply create a new icon, place the message in the “Form” box, and choose the users who should be sent the mail. You can also select a group name to send it to. Whenever you need to send out the message, just click on the icon and then the ‘Send” button. Since the form appears in the OutBox, you can still change it before sending.
2) Information Forms
Forms are perfect for order forms or information sheets. Let’s say that you have to collect information on the phone regarding orders for a product. If you set up a form with fields for each item in the order form (e.g., Name, Address, Product Ordered, etc.), you can click on the order icon, type the information directly into Snap Mail (use the “Tab” key to move among fields) and mail it to whoever collects all the orders. The order can then be cut and pasted into a database. Once you have created one order form, you can pass it around the office by sending the blank form and having each user “capture” it.
3) Sending to the same person often
Forms can greatly simplify the sending of mail to people with whom you frequently correspond. If you design a new icon that you will use for sending mail to a person, you can associate his or her name on the User List with that icon. Now every time that you choose that icon, it will already have selected the person as the recipient of the mail. You can also use the form to have a more creative heading than “Subject:” (i.e., “Dear Sue:”).
4) Signature forms
Every time you choose an icon, a form is also being selected. Most of the time, these forms just say “Subject:.” If you would like to personalize the mail that you send, why not place some text at the bottom of your messages? These “signatures” can contain your full name, your extension number, your home phone number, or anything you would like to say. Signatures can provide useful information or help spice up your mail.
** Single Name groups
Creating a group consisting of just one user gives you a way to get quick access to people you send to regularly. If, for example, you create a group name “Simon” which contains only the user Simon, you can quickly send mail to Simon by selecting “Simon” from the group pop-up menu. This is especially useful if Simon’s name appears far down in the User List.
** Animation in Snap Mail?
If you send a number of Snap Mail icons to another user, they will all be shown over the Apple menu. They will appear one after the other in the same order that you send them out. We leave the rest to your imagination…
